Job Description:


Import/Export Coordinators are responsible for arranging shipments, preparing documents for each shipment daily with various domestic and international protocols.

Negotiating rates with airlines, trucks, ocean lines and handling pricing information, and handling general office work, as directed by the Manager.

Job Responsibilities:
  • Handle AIR & Ocean import/export shipments.
  • Export document preparation for the daily shipment to Japan (small parcel & Bulk) and pre-alert emails.
  • Communication with export air clients and other Yamato offices.
  • Prepare Quotes for services requested and negotiate rates with vendors.
  • Obtain, create, and share required documents (b/ls, a/ns, invoices, etc.)
  • Create export commercial air invoices.
  • Submit SED (Shipper's Export Declaration)
  • Place export bookings with ocean carriers, airlines, or consolidators.
  • Arrange trucking/drayage between facilities and terminals.
  • Generate, research, qualify and distribute leads to sales reps.
  • Monitor cargo for freight, OBL and Customs release prior to final delivery.
  • Track and trace, update clients, and obtain proof of final delivery.
  • Maintain records of all financial transactions for each shipment.
  • Bill and invoice accounts for services rendered.
  • Provide customers with rates, transit times, routes, shipment updates, and all other information requested.
  • Record customer interactions and follow ups in CRM.
  • Prepare reports and presentations as requested.
  • Schedule local and international pickup & create BOL.
  • TSA communication if needed.
  • Data entry, Customer service.
  • Comply with local, federal and international rules and regulations.

Basic Qualifications:
  • Good understanding of domestic and world economy
  • Fluent business English (Speak, Read, Write)
  • Office work experience
  • Passion for providing top-shelf customer service.
  • Comfortable interacting in person, via email and phone.
  • Able to follow departmental, company and client SOPs.
  • Computer savvy and familiar with MS Word, Excel and Office.
  • Effective communication and organizational skills.
  • Must be able to prioritize to hit deadlines and avoid penalties.
  • Resourceful, proactive, problem-solver

Preferred Qualifications:
  • Experience in freight forwarding/logistics/supply chain industry
  • IATA DG certified helpful, not required
  • Import/Export coordinator experience
  • CargoWise system experience a plus
